Finance and Admin Officer for Angsamerah Institution
(FAO)
Responsibilities:
The FAO will be
responsible for effectively and efficiently performing financial and
administrative functions and providing operational support for Angsamerah
Institution’s programs.
The overall responsibilities of the FAO cover (but
are not limited to) the following activities: book keeping of accounts, record
financial transactions accurately and on time, update accounting records, verify
budget/accounting data, prepare monthly financial reports, maintain supporting
documents and keep a proper filing
system, prepare monthly and yearly tax reports and provide administrative
support related to Angsamerah’s projects. The FO must also ensure that financial
guidelines are properly observed and adhered to and the asset register is kept
and maintained properly.
Specific tasks will include:
Finance tasks
1.
Coordinate and
work with the Operations Manager and Project Manager in preparing activity
reports and financial reports. Ensure that reports are submitted timely;
2.
Maintain
accounting record (the petty cash book and general ledgers);
3.
Prepare monthly
expenditure reconciliation reports;
4.
Prepare monthly
& yearly tax reports and make tax payments to the Tax Office;
5.
Prepare payment request for vendors and
project members & ensure that
expenditures for the office/project are supported by required documents &
valid bills and receipts, the payments are made on time, the pre-authorization
has been recorded, and the incoming invoices have been numbered alternately;
6.
Prepare annual finance
balancing report to management;
7.
Work
cooperatively with Project Manager & Operations Manager in monitoring the financial
status of the project(s) and program(s);
Admin tasks:
1.
Conduct various
administrative tasks (as demanded by Project Manager and Operations Manager), in
particular organizational matters related to project travel, the preparation
and conduction of workshops and trainings and visits;
2.
Create and
maintain a systematic filing system for correspondence documentation and ensure
that it is available for the program staff;
3.
Manage office
operations and ensure that office stationeries are available;
Qualifications/Requirements:
a.
Bachelor degree
in Finance/Accounting or management or diploma (D3)
b.
Having experience
in financial management; Previous work experience with projects
supported by international organizations is considered an advantage
c.
Having knowledge and experience with tax
management
d.
Minimum of 2 years of professional
experience for Bachelor degree and 4 years for diploma degree (D3)
e.
Good knowledge of Microsoft Office
programmes (Word, Excel, PowerPoint, E-mail)
f.
Ability to work in a team
g.
Native speaker
of Bahasa Indonesia and good spoken and written English
